The hardest part of remote property management is not the repairs — it is the conversation where you ask a person you trust to change how they report to you. Done badly, it sounds like suspicion. Done well, it protects both of you.
Frame it as a rule about the property, not about the person: “From now on, every issue and every expense goes through the link, before the work starts.” One sentence, said once, applied always. The moment you accept one WhatsApp-only repair, the record stops being complete — and an incomplete record protects no one.
Make the workflow the easiest option. The report takes two minutes from a phone: what happened, a photo, the quote. Your job is to respond quickly — a documented workflow only survives if decisions come back fast. Aim to approve, ask or decline within a day.
Explain what the record does for them: every job they document builds a visible work history — proof of what they handled, when, and for how much. Good caretakers understand quickly that the record is their reference, not their leash.
Finally, close every loop. When work is done and the final amount is documented, reconcile it. A trail of reconciled records is what turns 'I trust them' into 'I can see it.'
